As your churches gather for your special called Charge Conferences related to the Boy Scouts of America Settlement, we want to make sure that every church is equipped to be successful as we attend to this important process. We know there are a lot of links and information, so below are five helpful steps to consider.
Step 1: Join the Zoom Meeting
Share the Zoom link with your congregation and encourage them to download the latest version of Zoom. Links for Charge Conference Zoom meetings have been sent to you. The special called Charge Conference (including the breakout room for your church) is open to everyone, both voting and non-voting members who attend the meeting.
Step 2: The Voting Link
Each congregation has a unique voting page. Links to these pages were sent to clergy via email on December 1 and 2. This link needs to be shared with voting members only. It will be used during your Charge Conference, so please make sure your church has it before the meeting. Please ensure that this information goes to voting members only!
Step 3: The Results Link
Each congregation also has a unique webpage that captures the voting results; these links were also emailed. This link is for the pastor and the church’s recording secretary. During the Charge Conference, you can share your screen with those present, or simply read out the results, but please do not share the results link with anyone other than the recording secretary.
Step 4: Submit Your Meeting Minutes
When the meeting concludes, use one of two links to submit your minutes, depending on whether you follow the voting recommendation or if you consider other business. Check with your AADS if you are not sure which link to use.
Step 5: Submit Your Response to Boy Scouts of America
Once your business has concluded, make sure to submit your response to Boy Scouts of America. Follow the instructions found in the Congregational Guide. Be aware of the deadlines for submitting your vote:
- By mail – December 7, 2021
- Electronically – December 13, 2021
Regardless of how you submit your vote, all votes must be received no later than December 14, 2021.
