Administrative Assistant Job Description
Summary: The administrative assistant supports the work of the church by serving as first contact for the church office, interfacing with Building Partners, supporting the senior pastor and staff to prepare for worship, and by coordinating with laity to ensure effective execution of the ministries of the church. Key Responsibilities
General Duties
· General reception duties including greeting visitors and responding to phone calls and email
· Manage files, calendar and membership database
· Produce bulletins and other documents for Sunday worship, special services, funerals, etc.
· Office management including mail, general correspondence, equipment maintenance, and office supplies
· Change letterboard sign as needed
· Attend and take minutes for Church Council and other meetings as needed
Communications
· Update Facebook, Instagram, website, and YouTube as needed
· Produce weekly newsletter using Mailchimp and bi-weekly print version
· Create graphics for publications or find/take photos to use (CANVA)
· Post pertinent information on Old North Durham listserve group
Financial
· Update contributor records, produce reports to finances as needed
· Support finance team in producing financial statements and in-kind gift letters
· Relay bills to Finance/bookkeeper for processing
Building Management
· Participate in recruitment, onboarding and renewal processes for Building Partners
· Receive and receipt Building Partner usage fees
· Process building use requests
· Communicate with custodian and/or cleaning company about building issues
· Provide building access and manage alarm system as needed
· Coordinate vendor appointments and seek estimates for needed services
· Communicate with Building Partners regarding upcoming events and other information and reminders
Required Skills
· Proficient in Microsoft Publisher, Word and Google suite of products
· Basic knowledge of Microsoft Excel
· Social media skills including Facebook, Instagram, YouTube
Desired Skills
· CANVA to create graphics and posts for social media
· PowerChurch (membership and finance database)
· Mailchimp
· Planning Center Online (for membership and directory)

· Relevant education and experience
· Excellent written, oral and interpersonal communication skills
