With all of the advances in technology and a continual push to &#8220;go green&#8221; there are many reasons to make the shift to becoming a &#8220;paperless board.&#8221; We&#8217;ve put together some tips on how to reduce your paper usage and encourage you to implement some or all of these changes in the near future.<\/p>\n\n\n\n<p class=\"has-text-align-center\"><em>Do you have a suggestion you don&#8217;t see listed here? <\/em><br><em>Leave a note in our comments area so others can benefit from your ideas!<\/em><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Advantages of going paperless:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Reduce costs of printing, folders, binders, postage, etc.<\/li>\n\n\n\n<li>Reduce time spent on production of materials (making copies, stuffing envelopes, filling folders)<\/li>\n\n\n\n<li>Improve ease and timeliness of communication<\/li>\n\n\n\n<li>Last minute corrections or changes to meeting materials no longer result in the need for reprinting of materials<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">&nbsp;Ideas for reducing paper usage:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Create a website for your committee and use it as a virtual meeting place for your members\n<ul class=\"wp-block-list\">\n<li>Include a calendar where meeting dates and deadlines can be posted<\/li>\n\n\n\n<li>Post materials prior to meetings so they can be reviewed. Members can then decide whether to print their own copies or view them on their mobile devices during the meeting<\/li>\n\n\n\n<li>Post minutes after the meeting<\/li>\n\n\n\n<li>Use a password if desired to secure sensitive data and share the password with your members<\/li>\n\n\n\n<li>Use online forms to collect survey\/feedback information from members<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Take advantage of email communication\n<ul class=\"wp-block-list\">\n<li>Set up a mailing list or contact group for your members and use it to send quick updates<\/li>\n\n\n\n<li>Send meeting invitations through email rather than paying for postage<\/li>\n\n\n\n<li>Email copies of meeting materials before the meeting<\/li>\n\n\n\n<li>Email minutes after the meeting<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Show meeting documents on a large screen using a projector rather than printing copies for everyone<\/li>\n\n\n\n<li>Use presentation software and share the presentation before and\/or after the meeting instead of printing handouts<\/li>\n\n\n\n<li>Provide computers for members to use during the meeting, or provide access to electrical outlets and wireless networks for those who bring their own devices<\/li>\n\n\n\n<li>Use software that allows users to collaborate on documents<\/li>\n\n\n\n<li>Use a dry erase board instead of pen and paper whenever possible for written activities<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Online Resources:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/workspace.google.com\/products\/calendar\/\" target=\"_blank\" rel=\"noreferrer noopener\">Google offers a lot resources<\/a> &#8211; many of them for free!\n<ul class=\"wp-block-list\">\n<li>Google Sites &#8211; build your own website easily from scratch or with a pre-made template<\/li>\n\n\n\n<li>Google Docs &#8211; share and collaborate on documents, spreadsheets, presentations and forms<\/li>\n\n\n\n<li>Google Calendar &#8211; send event or meeting invitations and track RSVPs <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Additional <a title=\"Stewardship Resources page\" href=\"https:\/\/nccumc.org\/treasurer\/stewardship-resources\/\" target=\"_blank\" rel=\"noopener\">Stewardship Resources<\/a> are available on our website<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Tips on how to be a paperless board Printing and assembling materials for each person at every meeting can be expensive and time-consuming.
