1. Provide secretarial services for pastor and other staff members as needed, such as: desktop publishing, data entry, typing, filing, correspondence, and maintaining records.
2. Receive incoming calls, answer questions and provide information related to the life and ministries of church. Take complete and accurate messages and route calls and messages to the appropriate staff members / church leaders.
3. Greet and offer assistance to all office visitors.
4. Distribute mail to staff members and church leaders.
5. Prepare worship bulletins, announcements and letters to congregation.
6. Assist in preparation of weekly and monthly newsletters, as needed.
7. Maintain accurate membership records: births, baptisms, marriages, deaths, etc.
8. Coordinate scheduling for church calendar and requests for use of buildings – in accordance with Trustees’ use policies.
9. Maintain inventory of equipment and supplies, and ensure that office equipment is well-maintained and serviced. Consult with pastor and/or Trustees on up-grades to office equipment.
10. Order church supplies upon request, or when needed to maintain efficiently run office.
11. Prepare minutes from committee and council meetings on request.
12. Cooperate with church staff and members by performing other duties when requested, and when such requests do not significantly diminish critical, required duties.
13. Assess the condition of the sanctuary, removing trash from the pews, returning and replenishing items in the pews (hymnals, Bibles, pencils, offering envelopes, attendance pads).
14. Assist in maintaining financial records, record weekly offering reports, receipts, vouchers, memorials.
